Our site is hosted and managed by 97 Websites Limited, a limited company registered in England and Wales under company number 08987622, whose registered address is 48 Alderney House, Ferry Court, Cardiff CF11 0JT.

5. What data do we collect?

Depending upon your use of our site, we may collect some or all of the following personal and non-personal information:

We do not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. Data will therefore be retained for the following periods (or its retention will be determined on the following bases):

  • In the case of the supply of services to you, for the duration of the contract between us and up a maximum of 6 years after the expiry of the contract or after the last occasion on which we provided a service o you, unless you indicate that you would like the data to be deleted sooner

In the case of email newsletters, until such time as you withdraw your consent to receive them.

 

7. How and where do we store your data?

We only keep your personal data for as long as we need to in order to use it as described above in section 6, and/or for as long as we have your permission to keep it.

Data collected via our website will only be stored within the European Economic Area (“EEA”). However, backup services and services providing website analytics may be used which are based outside the European Economic Area (“the EEA”). You are deemed to accept and agree to this by using our site and submitting information to us. If we do store data outside the EEA, we will take all reasonable steps to ensure that your data is treated as safely and securely as it would be within the UK and under the GDPR.

Data security is very important to us, and to protect your data we have taken suitable measures to safeguard and secure data collected through our site. Steps we take to secure and protect your data include:

  • Checking that any third parties with which we share data have adequate security measures in place to keep your data safe.
  • Restricting access to such data with secure passwords AND/OR encryption and limiting the individuals who have access to that data.

We may sometimes share your data with associated companies where necessary for the performance of a contract between you and us.

We may sometimes contract with third parties to supply services to you on our behalf. These may include search engine facilities, advertising, and marketing. We may sometimes use third party data processors that are located outside of the European Economic Area (“the EEA”). Where we transfer any personal data outside the EEA, we will take all reasonable steps to ensure that your data is treated as safely and securely as it would be within the UK and under the GDPR.

In certain circumstances, we may be legally required to share certain data held by us, which may include your personal data, for example, where we are involved in legal proceedings, where we are complying with legal requirements, a court order, or a governmental authority.

We use gocardless.com to collect payment via direct debit.
We use SageOne.co.uk to integrate our accounts system, together with gocardless.com.

We use Simply Filed for bookkeeping and credit control.

We use MHM Accounting Solutions for our accounts.

We do not hold or receive any financial data such as bank account numbers or sort code numbers. These are managed by GoCardless and SageOne, they comply with all financial regulations and GDPR. GoCardless is based in the UK. SageOne is based in the UK.

 

9. What happens if our business changes hands?

We may, from time to time, expand or reduce our business and this may involve the sale and/or the transfer of control of all or part of our business. Any personal data that you have provided will, where it is relevant to any part of our business that is being transferred, be transferred along with that part and the new owner or newly controlling party will, under the terms of this Privacy Notice, be permitted to use that data only for the same purposes for which it was originally collected by us.

In the event that any of your data is to be transferred in such a manner, you will be contacted in advance and informed of the changes. When contacted you will be given the choice to have your data deleted or withheld from the new owner or controller.

 

10. How can you control your data?

When you submit personal data via our site, you may be given options to restrict our use of your data. In particular, we aim to give you strong controls on our use of your data for direct marketing purposes (including the ability to opt-out of receiving emails from us which you may do by unsubscribing using the links provided in our emails and at the point of providing your details).

 11. Posting content on our websites and social media pages

Remember that the internet provides instant worldwide access. Any information that you provide will be worldwide instantly.

We don’t moderate our websites. So if you post comments about other people it’s not only your privacy that is at stake. Protect your friends’ privacy and reputations. Be careful about uploading any content that may show you or your friends in compromising situations and be aware that other users may abuse the content you have provided.

Please don’t provide information about yourself or other people unless you’re sure you and they are happy to have it made public. In particular, don’t provide any information about others without their consent where that information might identify them, such as:

  • Names
  • Tagged photos
  • Location

Under no circumstances make public other peoples’ home address, email addresses or contact numbers.

You may access our site without providing any data at all. However, to use all features and functions available on our site you may be required to submit or allow for the collection of certain data.
